The first step in getting started with Ally.io is to onboard your users and teams. Currently, our Product Support team helps you do this, which is not only a manual task, but also a time-consuming process. To help with this, we now support the ability to import your users and teams into Ally.io directly to finish your onboarding in no time. Automating this process will reduce the manual overhead, errors incurred during the onboarding process, and the time taken to get started.

How to import your organization?

You can import the user and team details using a CSV file. We provide a template for this CSV file, and here is how you can import the details using our template:

To import your users,

  • Navigate to the Admin menu > select Users tab.

  • On the top-right corner, you will find an option to Import Users.

  • Keep your CSV file ready, and ensure it adheres to the template we support. Click on Download Template to know more about the format.

  • It is mandatory to provide the user email address. The other details that you can provide are user name, teams that the user will be a part of, the manager email, user account type (in Ally.io, we have two account types that we support — regular and observer), specify if the user is an org admin in Ally.io, and the deactivation date (if the user has to be deactivated).

  • Once you have your CSV file in this format, click on Import Users, and upload the file.

  • You will be shown a preview of the changes that will be made after you finish the import. This way, you can ensure that you make necessary changes before the import.

    • The first tab will indicate how many users will be created in Ally.io.

    • If you already have existing users in your system, the second tab will indicate how many existing users’ details will be updated, and what information will be updated.

    • The third tab will let you know the errors that are prevalent in the CSV file that you upload.

    • Since we also have a column for denoting the team each user will be a part of, the fourth tab will let you know what are the teams that are being added in Ally.io.

  • Click on ‘Import’ to finish the process.

  • Once the import is done, you will be able to see the imported users under the Users tab. In addition, we will also send you a confirmation email with the imported user details.

To import your teams,

  • Navigate to the Admin menu > select Teams tab.

  • On the top-right corner, you will find an option to Import Teams.

  • Keep your CSV file ready, and ensure it adheres to the template we support. Click on Download Template to know more about the format.

  • It is mandatory to provide the team name. The other details that you can provide are the mail address of the team owner, the parent team (if applicable), and the team type (could be the department, or the sub-department).

  • Once you have your CSV file in this format, click on Import Teams, and upload the file.

  • You will be shown a preview of the changes that will be made after you finish the import. This way, you can ensure that you make necessary changes before the import.

    • The first tab will indicate how many teams will be created in Ally.io.

    • If you already have existing teams in your system, the second tab will indicate how many existing teams’ details will be updated, and what information will be updated.

    • The third tab will let you know the errors that are prevalent in the CSV file that you upload.

    • Since we also have a column for denoting the owner of each team, the fourth tab will let you know the owners who are being added as users in Ally.io, if the owner is not an existing user within the system.

  • Click on ‘Import’ to finish the process.

  • Once the import is done, you will be able to see the imported teams under the Teams tab. In addition, we will also send you a confirmation email with the imported team details.

Note

  1. For every user and team detail you provide in the CSV, we will either create a new user/team within Ally.io, or will update an existing one. Please ensure you provide the right information.

  2. If the fields are blank, no action will be taken – information will neither be added nor updated.

  1. How frequently can I import?
    You can import your users and teams once every hour.

  2. How can I specify the user's account type?
    In Ally.io, we support two account types — regular and observers. In our user import template, there is a column to specify the account type of the user. If you are importing observers, please note that your organization should have the billing plan for observers to be able to add them into Ally.io through user import.
